M.I.C.E. – Meetings & Incentives

Planning the event

In collaboration with each client objectives and based on your requirements, our “Team” will select and recommend the activities, hotels, menus and theme parties that fit into your program and budget. We will provide you with a preliminary program including costs for your evaluation. Once agreed, we will make all the necessary arrangements to assure a successful event.

Site inspection

We will be at the airport to meet and welcome you in Costa Rica in order to show you the beauty Costa Rica has to offer. During your site inspection you will visit all the hotels and places of interest that your group will enjoy during their incentive trip. And we will encourage you to participate in some of the activities that your are planning for the group.

At the end of your site inspection, you will leave us with the sure feeling that your incentive program will be a total success and will achieve its goals.

Execution of the program

We provide detailed schedules of the activities 15 days before the group arrives in order to assure that everybody involved is informed. The group coordinator will be with the group every step of the way to assure the smooth realization of the event. Our staff is fluent in English, German and Spanish in order to assist each participant in any need and provide the personal service that you expect.

Airport arrivals

Meet and greet

Your group will be received by our “Team”. There will be signs clearly indicating the name of the group. Our staff will assist with luggage and transfer to the vehicle that takes the group to the hotel.

Luggage handling

Once the participants have left the customs area, a pre-selected team of porters will carry the luggage to the vehicles under supervision of our staff. Depending on the number of arriving passengers per flight, we will transfer the luggage in a separate truck. All gratuities at the airport will be handled by our “Team”.

At the hotel our staff will work closely with the bell staff to ensure that the luggage is sent to the right rooms.

Hospitality desk

The hospitality desk will be located in the lobby of the hotel. The desk will be attended by a bilingual staff member of Costa Rica Dream Travel and will be open for at least 8 hours according to your schedule needs. Some of the functions of the hospitality desk will be:

  • Maintain everybody informed in detail about the day by day schedule of the program
  • Inform about time and location of events
  • Provide all participants with general information regarding the events and activities
  • Answer any question concerning the activities of the group
  • Collection and re-confirmation of return flight tickets
  • Provide information regarding departure
  • Maintain a bag pull listing
  • Reserve additional services in restaurants and optional tours
  • Assist in any way possible

Meetings & Incentives

    Airport departure

    Departure notice

    One day prior to the departure of the group a printed departure notice will be given to each participant with the following information:

    • Check out time
    • Bag pull information
    • Pick up time from the hotel
    • Departure time of the flight

    Normally the pick up time from the hotel is 3 hours before the flight departure time. A copy of the departure information it will be given to the bell captain to ensure the smooth departure of the group.Bag pull & luggage handlingEach participant will place his luggage outside the room at the established time. The luggage will be collected by the hotel staff under the supervision of the Costa Rica Dream Travel staff. We will coordinate the luggage movements from the hotel into the vehicles used for transfer to the airport. Depending on the number of departing passengers per flight, we will use a separate luggage truck if needed.

    We will select the porters to handle your luggage at the airport to ensure that it is quickly unloaded.

    Special treatment at the airport

    We will assure that the check–in will be as efficient as possible with special lines for the group. Each participant will be asked to identify his luggage and we will bring it to the check–in counter for luggage tagging.
